The Administrative Lead will manage day-to-day office operations in Makati City, Philippines. He/she will oversee general office administration and operations which include petty cash management, leading immigration processes, owning relationships with vendors, purchasing office supplies and equipment, and maintaining proper stock levels.

About the Administrative Lead role

The Administrative Lead will report directly to the SEA Operations Associate/Senior Associate and work closely with the SEA Leadership and Global Operations team. Specific responsibilities include the following: 


  • Office administration:
    • Run daily office operations (e.g. manage the relationship with office complex, track inventory procure supplies as needed, coordinate with and host office visitors, oversee caretaker if any)
    • Maintain office services by organizing office operations and procedures and managing all clerical functions
    • Design filing systems and maintain company files and records to ensure they remain updated
  • Service Providers
    • Own relationships with vendors (for example, internet providers, landlords, etc.)
    • Liaise and be the primary point of contact with our local bank and local accountant/compliance firm
  • Finance Support:
    • Manage petty cash and store physical receipts for the office
    • Assist the Global Payroll team with payroll processing by supporting in the opening of accounts and ensuring accuracy of information
    • Support Global Finance team by processing and organizing local payments, tax filings, and other audit requirements
  • Employee Experience:
    • Assisting teammates with onboarding, enrollment procedures (BIR, PhilHealth, SSS, and Pag-IBIG), and work visa applications and renewals
    • Draft employment contracts, manage and update employee systems and records, and provide administrative support to employees
    • Provide support in safety & security, logistics, and travel arrangements (booking flights and accommodations) for company trips and events
    • Help manage office culture and morale; help new staff acclimate to life with IDinsight Philippines
    • Liaise with IDinsight Regional and Global Operations on global procedures and policies



Knowledge, skills, and abilities

  • 0-5 years of relevant experience in administrative work, e.g., experience managing office operations and procedures, including correspondence with vendors, banks, and service providers.
  • Bachelor’s degree in Business Administration, Human Resource, Management, or any other related field
  • Strong written and verbal communication skills in English
  • Proficient in computer applications such as word processing, spreadsheets, database management, email, and utilization of internet
